Settings
Settings controls how SendMyRooms™ works for you and your clients. You'll get here from your SendMyRooms™ Management Area.

Click the Settings button to open it.

- Click more next to any item for details.
- Click Edit Settings at the bottom to make changes.
- Manage your email templates from the Manage Templates button.
- The first time you're here, you'll need to verify your email address.
The essentials
A handful of settings are worth getting right early — the rest you can leave at their defaults until you have a reason to change them.
- Client Access Password — the password all of your clients use to log in. It defaults to the last four digits of your contact phone number; change it to something you'll remember. See Client Settings below.
- Maximum Rooms — how many rooms you'll let each client upload (1–12). Set this to the most you'd realistically use, so you get as many room shots as possible. See Client Settings.
- Notifications — how you hear about new activity. We recommend enabling both email and ProSelect Messages so you don't miss anything. See Business Notification Options.
- Reminder & Confirmation Emails — turn these on so SendMyRooms™ automatically chases clients who haven't uploaded yet, and confirms with those who have. See Client Settings.
Everything else — business details, email sending options, the client movie, and more — is covered below.
To change any settings, click the Edit Settings button.

Business Name, Contact Name, Contact Phone
Your business name, contact name and contact phone number appear on the Client Area of the SendMyRooms™ website, and are inserted automatically into the emails you send clients. You may want to shorten a long business name (25–30 characters max) so it fits a mobile screen.
Default TimeZone
Your local timezone controls the timing of the emails SendMyRooms™ sends.
To change any settings, click the Edit Settings button.

Email From Name
The “From” name on emails sent to your clients. Defaults to your business contact name, but you can set something else here.
Notification Email
Where your own notifications go. This starts out the same as your business email, but you can point it elsewhere if you'd rather keep notifications separate from client-facing email. It doesn't need to be verified, since notification emails are always sent to you directly from SendMyRooms.com.
BCC Client Emails
When enabled, every email sent to a client is also copied to your Notification Email address.
Email App Type
Controls how the Edit in Email App button behaves. Choose HTML or plain text depending on your email program. If you use a browser-based service like gmail.com or outlook.com, pick one of the two Browser options — you'll likely also need to configure your browser to support it. See the Knowledgebase article for details on setting that up.
Invitation Templates
One Invitation Template is available by default. If you send different kinds of invitations for different jobs, you can enable up to three. Only turn this on if you need it — it's one more thing to keep track of.
To change any settings, click the Edit Settings button.

Notification Method
- None — turns notifications off.
- Email — sends them to your Notification Email address.
- ProSelect Messages — sends them to your ProSelect Messages queue.
- Or choose both.
Rooms Uploaded
Notifies you when a client has uploaded new rooms. Checked once a day.
Removal Warnings
Notifies you a week before a viewing's uploaded room images are due to be removed — normally a week after the viewing date. We recommend leaving this on.
To change any settings, click the Edit Settings button.

Client Access Password
Used by all of your clients to log in. Defaults to the last four digits of your contact phone number. Caution: changing it breaks the access links in any Invitation or Reminder emails already sent — affected clients will need the new password. You can resend invitations to those clients, or simply let them know the new password.
Session Name
The wording used on the client's Welcome page — “viewing session”, “portrait session” or “ordering session”, whichever fits your business. You can also adjust the wording in your email templates.
Viewing Date Reminder
By default, clients see their viewing date reminder on the Welcome page. You can hide it — though this doesn't remove the date from your default emails, which you'd need to edit yourself via Manage Templates.
Maximum Rooms
The most rooms (1–12) a client can upload per viewing. It's best to set this to the highest number you'd realistically use, so you get as many room images as possible.
Reminder Emails
When enabled, sends automatically to clients who haven't yet uploaded any rooms — from 1–20 days before the viewing date.
Confirmation Emails
When enabled, sends automatically to clients who have uploaded rooms — from 1–7 days before the viewing date.
Client Movie
By default, clients can watch a short movie on why and how to send you their room images. Use Test Movie to review your choice:
-
- SendMyRooms™ Movie (Default).
- SendMyRooms™ Movie (Shortened) — just the “how to” part, without the intro and outro.
- Custom Movie URL — enter the full internet address of your own movie, then use Test Movie to confirm it plays correctly. You can also paste the URL into your browser's address bar to check it.

Linking to YouTube movies — if your custom movie is on YouTube, make sure your browser (or your client's) won't block it by using a link in this format:
https://www.youtube.com/embed/XXXX
Where XXXX is your YouTube movie ID. (In some countries the domain may not be “www.youtube.com”.)
See the Knowledge base article on ProStudioSoftware.com for more on linking to externally-hosted movies.
Default Language
The default language for newly added clients. You can choose a different one for each client when sending their invitation. Currently only English is supported.
Once your email is verified, a direct session link appears at the top of the Client Settings area. Click it to go straight to the SendMyRooms client login page, or copy it into an email to your clients — just be sure to include the Client Access Password too.
This link lets clients in even without a booked session — they enter their email address and the client access password to log in and start uploading.
