Introduction to Pricing
ProSelect features a versatile pricing system designed to accommodate the varied pricing methods employed by different photography studios. This capability allows studios to tailor their pricing strategies to their specific business models. By correctly configuring your pricing within the software, you can filter out and display only those products that are priced and available for sale, avoiding the mistake of offering non-producible items. Properly managing your pricing improves the accuracy of your sales sessions and streamlines your workflow. This allows you to focus on customer service and sales rather than administrative details during a sales session.
Starting Price List
ProSelect comes preloaded with a price list that includes a selection of universally used prints and products. You have the option of modifying and using this price list, or creating your own.

If you are using a downloadable Supplier Collection, much of this work is already done for you. Supplier Collections are curated sets of products from specific suppliers. Each product in the collection is linked to a specific supplier, complete with details on the range of products available and their pricing.

ProSelect offers a "Sum of Parts" pricing method that greatly simplifies the pricing of products by automatically adding the costs of individual components. Learn more by clicking on Simplify My Pricing.
- Before you begin setting up your prices in ProSelect, we recommend reviewing the information on the Preparing for Price List Setup page. The information here will show you how to save time when importing pricing.
- Read the About the Product & Pricing Manager page. The Product & Pricing Manager is a home base for organizing, adding, removing, and pricing all of your products.
- Read the Price Lists page. ProSelect supports the use of up to ten different price lists, allowing you to tailor your pricing strategies to different types of photography shoots. You can maintain a single price list for general sales or create multiple lists to cater to specific events.
- Set up your Print pricing. There are step-by-step guides on the Prints page as well as training videos.
- Set up your Gallery Wrap pricing. Follow the step-by-step guide.
- If you are going to offer other types of products such as Composite Layouts, Traditional Matted Products, Wall Groupings, Specialty Products, etc. it is recommended that you look at the Managing Product Templates page. Product Templates work in a different way to Prints and Gallery Wraps.
- Set up pricing for your Composite, Advanced Gallery Wrap, and Specialty Products. These products can be priced using either the "Sum of Parts" method or "Fixed Price by Presentation Option."
- Set up pricing for your Traditional Matted Products. These products can also be priced using either the "Sum of Parts" method or "Fixed Price by Presentation Option."
- Set up pricing for your Wall Groupings. There are 4 different methods of pricing your Wall Groupings. Each method is clearly explained on the Wall Groupings page.
- Set up pricing for any Reference Products you wish to offer. This could include products such as Image Boxes or Albums.
- Set up and price Extras. Extras are additional options or add-ons that can be included with products. Some examples are special finishes, additional retouching, print mounting, glass, or any other additional features that may incur an extra charge.
- Set up and price Order Adjustments. Order Adjustments are charges or fees that are applicable to the entire order, such as session fees, location fees, travel mileage, hourly charges, shipping costs, and other similar expenses.
- If you offer digital files, set up and price Digital Files.
ProSelect offers a "Sum of Parts" pricing method that simplifies the pricing of products by automatically adding the costs of individual components. This method is particularly useful for products like Wall Groupings and Traditional Matted Products.
- For instance, the total cost of a Traditional Matted Product is calculated by adding the individual prices of the print, mat, and frame.
- If these components are already individually priced within ProSelect, the software instantly calculates the total price for the product.
- You can then optionally add a discount.
- Similarly, Wall Groupings are priced by totaling the costs of all prints, gallery wraps, mats, and frames included in the grouping. This built-in functionality makes it far easier to manage pricing efficiently and accurately.
Steps for Simplified Pricing
- Set up your Print pricing. Accurately setting up pricing for your prints is important. They are the benchmark for most other products. We recommend reviewing the information on the Preparing for Price List Setup page.
- Set up your Gallery Wrap pricing. If Gallery Wraps are used in any Wall Groupings, the pricing will be taken directly from this setup.
- Set up your Mat and Frame pricing.
- Select "Sum of Parts" Pricing for all Composite, Advanced Gallery Wrap, Specialty, Traditional Matted, and Wall Grouping products you wish to offer.
- If you offer products that do not fit into any of these categories, price them individually.

- When you update the prices of prints, gallery wraps, mats, or frames in ProSelect, the software automatically recalculates and updates the prices for all products that use these components.
- GNP Frames provides a wide selection of frame options, making them one of the easiest choices for diverse framing needs.
It is recommended that a "go-to" print be created. It's the print type you recommend or choose most often, serving as a signature style that aligns with your studio's branding. Some examples:
- Delux Portrait Finish
- Premium Print Matted & Framed
- Fine Art Framed Print
ProSelect includes a sample price list with various product options. If your preferred "go-to" print is aligned with a Supplier Collection, you can create a Display Name. If you are not using Supplier Collections, it is recommended to start with the pre-created "Custom Print" available in the software. You can easily modify this Custom Print to tailor it to your studio's specific needs and branding.
- Navigate to the Product & Pricing Manager.
- Select the Prints tab.
- Select "Custom Print."
- Click on the Rename button.
- Type in a name for your "go-to" print, for example: Delux Portrait Finish.
- Move to the next panel over and click on Select All.
- With all the Custom Prints selected, we can now modify the Presentation Option (print finish) to align with our Delux Portrait Finish. Click on the Edit button.
- Select "Delux Portrait Finish" from the list of Presentation Options; if it does not appear, you can select the manage option to create it.
- Optionally have the mat and frame included in the price.
- Save the changes.
- You can now manage the sizes and prices of your "go-to" print.

It's easy to create another go-to print by duplicating.
- Duplicate all the prints in the folder by using the Select All button, then the Duplicate button.
- Hold down the OptionAlt key and drag the selected prints to a new folder.
- Choose a new Presentation Option for the prints.
- Double-check the sizes and prices you want to offer for this group as well.
Items Priced at Zero
If a price list item has been created in the Product & Pricing Manager, but the price is zero, it may display as $0.00 when you order the item. You have the option of changing this in your Settings. Go to Settings > Pricing & Ordering > Display Options. The chosen display option will be used in the Popup Order Menu, the Review Order window, and Order Reports. *Note that if you choose $0.00 (in red), this only affects the Popup Order Menu. The Review Order window and all Order Reports will show $0.00 in the usual text color.
- Show the item at a price of $0.00 (in red)
- Show the item at a price of $0.00
- Show the item as "included."
- Or leave the price blank.
Practical Example
We have a 36x24 print with a double white mat and a frame applied. The print and frame have been priced, however, the mat has not. As a default, any item set up in ProSelect without a price, will appear as 0.00.
If we change our settings and choose "included" as our default for items priced at zero, it will display on the Order menu, the Review Order window, and the Order/Invoice report.
