Setting up Pricing for ProSelect and StudioCloud

Because ProSelect manages workflow and production, price list setup requires more parameters than StudioCloud.  Based on that, all product setup should be done within ProSelect, then StudioCloud can then receive the pricing data from ProSelect. 

There is no need to manually setup up pricing in both ProSelect and StudioCloud.

Products match best between ProSelect and StudioCloud based on product codes.   When you activate StudioCloud Integration (Preferences > General Settings > Integration), product codes are automatically activated within ProSelect.   Once this is activated, any new product added to the ProSelect price list will automatically have a unique product code generated.  You can use the system generated code or create your own.    

Assuming that you have some pricing already setup in in ProSelect prior to activating your integration, you will need to add product codes to those items.  Product codes can be automatically generated.  To generate codes Orders > Price List Setup > Set Product Codes.  From there you have the following options:

  • Add unique code for items without a Code
  • Replace Codes for all Products
  • Clear all Product Codes

Choose Add unique code for items without a Code

Both ProSelect and StudioCloud support multiple price lists.   The names of these price lists should match exactly.   You can manually name the price list in StudioCloud to match ProSelect’s price lists or let an automatic naming take place by importing the information.

When you export an order from ProSelect to StudioCloud, the StudioCloud software attempts to match the incoming products with those already in the system.  First the product is imported and then StudioCloud will try to match the products using the different options below. 

  • The first attempt to match a product from ProSelect to one in StudioCloud is by comparing the Product Code with the StudioCloud Bar Code.  If no Product Code is found then this step is skipped
  • If the product code is not included in the ProSelect information or if no match is found in StudioCloud then StudioCloud will search by name and description
  • Note: If a product from ProSelect has a product code but there was no matching product code in StudioCloud but there was a product with a match by name and description then the product code is updated in StudioCloud.
  • If no match for the product is found in StudioCloud then the product will be created in StudioCloud

If you are a new StudioCloud user and have pricing setup in ProSelect, we suggest clearing the existing StudioCloud pricing data, then importing your pricing information from ProSelect.   Importing using this method will create matching price lists in StudioCloud, add all product items to StudioCloud’s master Product’s and Services table, and add product and service items to the appropriate price lists.

To Remove Existing StudioCloud Products and Services

In StudioCloud

Make a backup copy of your StudioCloud data

  • Overview > Technical Support > Backup Options > Backup StudioCloud to Cloud Storage

Delete existing Products and Services from StudioCloud

  • Point of Sale > Settings > Manage Price lists
  • Group > Operations > Select All
  • Review the list and see if any Product and Service items are not included in the Price lists you created within ProSelect.  Any items you wish to keep, deselect.

Delete existing Price Lists from StudioCloud

  • Group Operations > Delete Selected Products and Services
  • Click the Price Lists Tab
  • Group Operations > Delete All

How to Export the ProSelect Price List

In ProSelect 

  • Orders > Export Price List as CSV
  • Select the Output Location on your computer
  • Leave the Format with the default "Detailed" option
  • Leave the Separator option with the default "Comma" option
  • Click the Export button

In StudioCloud

How to Import the CSV ProSelect File to StudioCloud

  • Go to the Point of Sale component
  • Click on the Settings tab
  • Click the Manage Price Lists button
  • Select the PriceLists tab in the Manage Products, Services, Packages, & Price Lists window
  • Click the Import Price Lists From CSV button and select the Import Price Lists From CSV option to open the Import Price Lists window
  • In the Import Price Lists window click the Import Options and select Import from ProSelect
  • Select the file that you just exported from ProSelect and click Open
  • Click the Save button

In the future, any time a new product is on an invoice that is exported from ProSelect to StudioCloud, the product item will be added to the StudioCloud Products and Services if it does not match an existing product.

If you are a long-time StudioCloud user and need to utilize existing products and StudioCloud product bar codes, you’ll need find the product in ProSelect that matches your existing StudioCloud product and add or replace the the ProSelect product code (with the StudioCloud product bar code).

  • Orders > Price List Setup
  • Choose the product from the list > Change
